AI Use and Transparency Policy

AI supports some planning, research, writing and administration.
I review and remain responsible for the final work.
Identifiable client information is not entered into general ChatGPT or Claude chats.
Fathom may be used for an agreed one-to-one recording and summary.
The quiz uses fixed scoring rules, not AI assessment or diagnosis.
You can ask for an explanation, correction or human review.

Who this policy covers

ADHD Business HQ™ is operated by me, Joanne Gibson, as a sole trader.

This policy applies to AI and AI-enabled tools used in ADHD Business HQ content, administration, quizzes, workshops, programmes and coaching.

1. How I use AI

I currently use tools including ChatGPT, Claude, Notion AI and Fathom.

AI may support:

brainstorming and organising ideas;
outlining, drafting and editing;
summarising my own notes;
research planning and source finding;
accessibility, formatting and alternative versions;
business administration; and
an agreed one-to-one recording, transcript or summary through Fathom.

AI is a support tool. It does not replace my judgement, experience, responsibility or relationship with a client.

2. Human review and accuracy

I remain responsible for content, teaching, decisions and services published or delivered by ADHD Business HQ.

AI output can be inaccurate, incomplete, outdated or biased. I review work before it is used externally or relied upon for an important business or client decision.

Important facts, quotations, statistics and current legal, financial, health or safety information are checked against suitable original or authoritative sources.

AI output is not presented as legal, medical, financial, therapeutic or other regulated professional advice.

3. Client and participant information

Identifiable client information, private coaching conversations and confidential group discussions are not entered into general ChatGPT or Claude chats.

Notion is used to hold internal business and client records. I do not deliberately use Notion AI to analyse or summarise identifiable client records.

Where examples or client experiences support planning or learning, identifying details are removed unless the person has given clear permission.

Clients and participants must not place another person's confidential or identifying information into an AI tool during an ADHD Business HQ workshop, programme, community or shared task.

4. Fathom and recording choices

Fathom is the specific AI-enabled service I may use with identifiable information in a one-to-one session.

Before Fathom is used, the client will be told that it records, transcribes and summarises the session and will be asked to agree.

The normal follow-up is a private Fathom recording link plus an email summary.

A client can opt out. Fathom will not be used and I will provide a manual email summary instead.

Business Space group coaching, participant discussions and supported working sessions are not recorded. A separate teaching section may be recorded without participants appearing in it.

Workshops may be recorded where this has been made clear before booking or before recording begins.

5. Quizzes and decisions

The current ADHD Business HQ quiz uses fixed answer choices and predefined scoring rules.

It does not use AI to:

diagnose a person;
decide if they can buy or join a service;
assess their professional competence;
make a refund or complaint decision; or
make another solely automated decision with legal or similarly significant effects.

Quiz results are educational and reflective. They are not a diagnosis, professional assessment or guarantee of business results.

Important decisions about access, participation, complaints, refunds, support or removal from a service remain subject to human judgement.

6. Content, evidence and intellectual property

AI may support writing and editing, but it is not used to invent:

testimonials or client results;
qualifications or experience;
research findings, quotations or sources;
personal stories presented as real; or
evidence that does not exist.

I do not treat an AI answer as a source. Sources must be opened and checked before they are relied upon.

I respect copyright, trademarks, confidentiality and other intellectual-property rights. AI must not be used to reproduce confidential or paid material without permission, pass off another person's work as mine or imitate a living creator in a misleading way.

Routine assistance such as spelling, formatting or restructuring my own words is not labelled on every item. I explain AI use when it matters to someone's understanding, consent, rights or decision.

7. Choice, questions and human review

You will not be required to use an AI tool directly to access an ADHD Business HQ service where a reasonable alternative can be provided.

You may ask for:

an explanation of relevant AI use;
correction of inaccurate information;
deletion where the law and circumstances allow;
a non-AI alternative where reasonably available; or
meaningful human review.

Changes to this policy

I review this policy when the business changes its AI use, introduces a new tool, changes the quiz scoring method or relevant law or provider settings change.
